Qualifications:

Position Requirements / Certifications / Licenses / Skills / Knowledge / Abilities: Associates degree preferred or High School graduate/G.E.D. Computer literate with two years of experience preferred. CPR training annually. Annual HIPAA training. TRAIN courses related to job duties/requirements. General office experience.Medical record and or medical office experience preferred. Quality Assurance experience preferred. Customer Service experience (2 years). Computer experience (Microsoft Office, Excel, PowerPoint, and Access). Cashier experience preferred. General Medical Insurance knowledge preferred. HIPAA training preferred. Data entry of minimum 5,000 KPH with 80% accuracy. Strong math and language skills. Strong Customer Service skills. Ability to deal effectively in a positive manner with a variety of people/attitudes by telephone and in person and maintain a composed and courteous demeanor. Ability to speak Spanish desirable. Knowledge of community resources. Ability to multi-task and work independently.

Responsibilities:

Job Purpose and Objectives: Comply with HIPAA Privacy and Security laws. Ensure client confidentiality while providing clerical support to various areas within the department. Cover seasonal clinics, off-site clinics, vacations, sick days, breaks, maternity leaves, and heavy workloads. Responsible for all data entry aspects for multi clinic rosters. Present excellent customer service with compassion, integrity, and accountability. Professional communication skills and teamwork within department. Flexible work schedule. Job Competencies: Essential Functions: Comply with HIPAA Privacy and Security laws and Need to Know Rule. Responsible for updating Daisey Clinical Data Forms for clients at check in. Responsible to maintain current and accurate data on all client services (Check In/Out process). Responsible for accurate and efficient encounter entry for all client services. Collect payments, make correct change, and balance drawer. Routine collection, completion, and organization of necessary forms/data entry for patient services. Schedule appointments appropriately (correct clinic/appointment slots). Determination of legal documents at check in (Legal Name Changes, Foster Care, Adoption Decree and Divorce Decree). Accountable for obtaining current Sliding Scale proofs and eligibility at check in (Check stubs, Tax Returns, Benefit Letters, and Self Declaration). Verification of third party pay contracts and correct data entry for billing purposes. Work with Fiscal Associate/Back-up Clerk on verification/eligibility of private insurance. Verify eligibility of medical cards on KMAP and/or work with Back-up Clerk on coverage. Maintain records: retrieve, assemble, and file charts. Prepare charts for upcoming appointments and file forms in appropriate order. Responsible for department(s) meeting minutes. Clerical relief for breaks, lunches, vacations and other department(s) needs. Responsible for obtaining a signed Release of Information form per client/parent request for sharing of health information. Knowledgeable in obtaining legal signatures on required forms. Responsible for delivery of incoming labs/records to appropriate departments in timely manner for review process. Assist with annual purge of records. Assist with CPR training/classes. Assist with off-site visits/clinics as time allows or for special needs. Accountable for all phases of Health Information/Data Entry Clerk position description and other duties as may be assigned. Communicate with supervisor as issues arise for efficient solutions. Follow chain of command process for department needs. Apprise supervisor of unsafe conditions. Accountable for all assigned keys. Accountable for PHOB and Preparedness badge. Resolve problems relative to position duties with assistance as necessary. Awareness of assigned tasks and completion in a timely manner. Responsible for routing calls appropriately and delivery of messages. Prioritize projects. Ability to handle excessive workflows. Assistance from supervisor as necessary. Protects and maintains any confidential information, whether oral, written, or electronic. Operates all job-related equipment, machinery, tools and other aids as required or needed.
